Search Filters allow users to execute searches directly against metadata fields. There are three types of filters: Text, Keyword, and Range.
When multiple filters are used, the query is represented as an AND operation between the fields.
Filters can be edited and cleared.
Edit Filter:
Applied filters are shown at the top of the left panel.
The total number of documents that matched with the filters are shown next to the search text box.
Clicking on a specific filter, the user can update it.
Clear Filter:
The user can remove a specific filter by clicking on the X next to the applied filters (inside the search field or the value below the search field).
Clicking on “Clear Filters” will remove all the filters and will show all the documents.
Close filters:
Can be closed without applying any change when the user clicks on the X at top of the right corner.
When the user clicks over the same filter in the left panel. Applies for empty or filters active.
Group filtering:
Editor group:
Creation Date
Creator
Edit Date
Last Editor
Owner
Contract Terms group:
Term
Document Status
Renewal Date
Payment Terms
Governing Law
The Effective Date
Contract Value
No group: this group applies to all the metadata not configured.
Users can hide/show groups by clicking the link. The groups that are hidden stay hidden during the session.
Filters for Sales Users
Sales Users will see the following filters on the Search page:
Counterparty
Document Type
Edit Date
Effective Date
Creator
Negotiation Status
Text
Text filters allow users to execute Boolean queries against fields. This is useful for fields like Filename, Notes, or Company. Press the return key to execute the search.
Keyword
Keyword fields are used when the metadata has repeating values that are used on multiple documents.
Keyword fields will show a list of available values with the number of matching documents and allow for a type-ahead search to select values.
Keyword fields can work as text fields when the users make searches by text.
Multiple values can be selected and executed as an OR operation in the field values.
The user can search using the “Exclude” toggle to exclude the selected values, for example:
The number of documents with no value in that metadata (“RESULTS WITH NO VALUE”) is displayed at the bottom of the screen. Clicking on the number will apply a filter for no values for that metadata, for example, documents without “Document Type”.
When multiple values are selected, these are shown on the left above the filters:
When the “Exclude" toggle is turned on, these are shown in this way:
Range Filters
Range filters are used only for fields that are Date types. Ranger filters have an upper and lower bound. Queries can be executed by setting only the upper or lower bound or both.
The user’s time zone is used to filter the documents.
There are some default ranges for dates:
Today
Last 7 Days
Last 30 Days
Last 90 Days
Custom. Custom Rage should allow users to set a start and end date.
For non-system dates, the user is able to search for documents that have a date in the future, such as an expiration or renewal date. The following ranges are included:
Tomorrow
Next 7 Days
Next 30 Days
Next 90 Days
Note: If a default range is selected and saved, it will keep it when the user applies on the next time. For example, if the user selects today, the next time “Today” applies for the same day the user selects the saved search.
Number Filters
Number filters are used only for fields that are Numeric (integer). Number filters have From and To bound.
If the user prefers do not to define the “From” value, the beginning value will be zero until the “To” value entered by the user.
If the user does not define the “To” value, the filter will not use any limit. The only value used for filtering will be the “From” value.
If the user enters both “From” and “To” values, the filtering will be applied using the information and will display the other contracts.
Boolean Filters
Boolean filters are used only for fields that are Boolean (true or false). These filters have “Yes” or “No” options.
If the user selects the value “Yes”, the displayed results will be according to the true value.
If the user selects the value “No”, the displayed results will be according to the true value.
Only one value at a time can be selected. Is not a multiple-option selection filter.
Note: The user can search using the “Exclude” toggle to all filter types (keyword, text, date, number, and Boolean).
